The CSC PROCTAD Information Management System (CSC PIMS) is a web-based platform used to create, receive, organize, store, retrieve, update, track, archive, and dispose of official records in support of authorized Civil Service Commission operations.
The CSC is committed to protecting personal data and official records in accordance with Republic Act No. 10173, or the Data Privacy Act of 2012, its Implementing Rules and Regulations, and applicable government records management policies. Personal data shall be processed lawfully, fairly, securely, and only for declared and legitimate purposes.
The system may collect and process account details, identifying information, contact information, office or agency details, document metadata, transaction history, audit logs, and other information contained in official records submitted to or maintained in the system.
These data are used for records registration, classification, routing, retrieval, monitoring, reporting, retention, archiving, disposal, user accountability, service continuity, audit, and other lawful administrative or operational purposes.
Access to records and personal data is limited to authorized users based on assigned roles and official functions. The system applies reasonable administrative, technical, and physical safeguards, including authentication, access controls, activity logging, database security, and controlled disclosure procedures.
Records are retained only for as long as necessary for their stated purpose, or as required by law, audit rules, archival requirements, approved records disposition schedules, or lawful orders. Records due for disposal shall be deleted, anonymized, archived, or otherwise disposed of through authorized procedures.
Personal data and official records shall not be disclosed to unauthorized persons. They may be shared only with authorized CSC personnel, government offices, service providers, auditors, or oversight bodies when required for official functions, legal obligations, security, audit, records administration, or other lawful purposes.
Data subjects may request access to their personal data, correction of inaccurate or outdated data, and information on how their data are processed, subject to identity verification, system rules, records retention requirements, legal restrictions, and applicable CSC policies.
